Lessons for Phase II
Communication & Coordination
·
Aim should be to keep everyone
informed without overloading
·
Flag emails according to the
level of importance
·
Implement a categorizing system
for emails so it easy to identify which message is being referred to ( Use number
in the subject line of the email )
·
Streamline contacts. Clarify
who is working on the project in each country and make sure all emails are sent
to ALL relevant persons
·
Make sure that everyone is copied
on all relevant communications, both partners and CUTS. This can be achieved
by having a standard email template for each different aspect of the project
·
Any mechanical problem with email
should be informed to everyone immediately
·
Share outputs with the Advisory
Committee
·
All emails should be acknowledge
even if they cannot be acted on immediately
·
CUTS should respond to submissions
·
Communications between the researchers
can be useful. CUTS can facilitate this
Newsletters
·
“Regular” contributions should
come at least once every two weeks. Contributions may not be just newspaper
articles but could be analysis/ background/new stories prepared by the partners
·
Questionnaire about the Newsletters
will be distributed for feedback
·
Format/content of the Newsletters
will be reconsidered
·
On the basis of this, a clear
outline of the requirements will be distributed to the partners
Research & Reports
·
Everyone should be involved in
the design of the research
·
Disjuncture between the questionnaire
hammered out at the Launch meeting and the analytical outline prepared and distributed
later.
·
Expectations for the outputs
must be in line with the initial requests that were made of partners
·
Problems with collecting data:
use qualitative information/anecdotal evidence if quantitative data is not available
·
Non-availability of data is data
too, and expectations from research should be clearly communicated
·
Everyone should be clear on the
approach to be adopted
·
Document prepared for Phase II
based on discussions at the seminar should be prepared, distributed and approved
quickly
·
Revise Phase I Reports
